Job Description Position Overview The HR Administrative Assistant---s primary role will be to support the successful operation of the Human Resources Department by providing administrative and coordination duties. Essential Job Functions Performs administrative tasks and services to support effective and efficient operations of the Human Resources Department. Assists with greeting, coordinating and scheduling candidates for job vacancies. Assists with onboarding employees to include employee desk setup, name plates, building access tickets, activation of office phone line. Works with IT to ensure proper equipment is on order, keyboards, monitors, laptops. Assists with employee offboarding process to include retrieval of company property. Executes special projects to include gym reimbursements, anniversary awards, and facilitation of company training program curriculum aka Health Monitor University. Maintains up to date signage and labor law postings on Bulletin Boards in company common areas. Monitoring and maintaining inventory of all office supplies, stationary and all kitchen supplies. Point of contact for all copy machines, ordering paper, printer toner and ink supply orders. Daily sorting and scanning of mail to include incoming and outgoing mail and maintain Corp FedEx account for HR. Handles review of all invoices from all supply vendors relating to kitchens, copiers, paper, and supply vendors. Works with building maintenance company and onsite technician to keep the office clean and safe and ensure its appliances are in good working order. Responds to employee and outside verifications of employment. Assists in reception area as needed for special events or guest meet and greets. Assists HR Dept with various special projects on an as needed basis. Qualifications: One to two years related experience in a corporate environment providing administrative support to senior level members. Basic knowledge of HR laws and regulations a plus. Proficient on Microsoft Office product suite Word, Excel & PowerPoint. ADP TotalSource knowledge a plus Exemplary professionalism and discretion when handling matters of a confidential nature. Versatility, flexibility, and ability to work with minimal supervision. Excellent verbal and written communication skills. Proven ability to handle multiple projects, meet deadlines and make clear and timely decisions. Strong interpersonal skills with a highly developed set of customer service skills. Ability to deal effectively with a diversity of individuals at all organizational levels. Ability to work independently and as a member of various teams and committees. Acute attention to detail. Demonstrated ability to plan and organize projects. ADA- Physical Demands Office Position: While performing the duties of this job, the employee is frequently required to sit; use hands to finger, handle, or feel objects, tools, or controls; talk and hear. The employee regularly is required to walk and reach with hands. Employee frequently uses computer keyboard, regularly travels both short and long distances via walking within the work site. The employee must regularly lift and/or move a laptop computer. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and the ability to adjust focus. Employee views computer monitor frequently.
