OverviewThe Social Ministries Department at the Eastern
Territorial Headquarters has an opening for a Systems Administrator
supporting the Pathway of Hope (POH) Program. This program is
designed to be a high-impact case management approach that focuses
on identifying the root causes keeping families from becoming
self-sufficient. The program focuses on families with children in
an effort to impact generational poverty. The Systems Administrator
is responsible for oversight of the system setup and modifications,
system administration and supervision and user training of the
client data management system, CommunityServices, a web-based data
system, and its case management protocols. The Systems
Administrator will work collaboratively with the Pathway of Hope
Coordinator (team leader) and the POH staff, to support the
implementation of POH objectives. The Systems Administrator is
responsible for ensuring the integrity of the data collection
system and case management processes and ensuring that system
procedures and protocols are followed, properly reported, and
documented. This individual is the primary developer of training
materials and responsible for POH and Community Services workflow
training of Territorial, Divisional and Corps staff. The Systems
Administrator will establish goals each year, in consultation with
the Assistant Territorial Social Ministries Director, for
presentation to the Territorial Social Ministries Secretary. Travel
may be required, as well as occasional evening and weekend work.
ResponsibilitiesSystem Administration - CommunityServices
- Provides system supervision and oversight of Pathway of Hope
Eastern Territory end users and is the territorial system
gatekeeper.
- Coordinates and administers ongoing support services for
Community Services application.
- Monitors compliance with data security, data sharing, data
integrity and confidentiality rules.
- Participates, as a POH team member, in recommending strategies
to increase system and workflow efficiency.
- Develops and recommends strategies for increasing data quality
and user compliance within the case management workflow.
- Provides reports for administrative and program use.
- Monitors compliance with established POH system policies and
procedures.
- Develop and maintain a trust relationship with participating
units.
- Provides other reports and participates in other activities as
assigned. POH Case Management Practice - Support
- Reviews data points and recommends strategies for increased
client engagement and retention.
- Conducts, weekly, case file reviews to identify and promote
best practices through general communication protocols or provide
targeted trainings.
- Reviews how case managers are meeting established POH
requirements, following policies and procedures and shares areas of
success, as well as recommends strategies for improvement to POH
Coordinator for action.
- Develops and implements strategies for case manager skill
development in CommunityServices and case management in
combination. Data Entry & Case File Review
- Provides data entry and case management support to POH case
managers, including but not limited to review of mock families in
the Training Site.
- Approves case managers for entry into LIVE site.
- Shadows case managers, upon request, to troubleshoot and review
specific cases files in the Live site.
- Provide supplemental data entry training to case managers as
indicated by number of data entry errors found in Territorial data
audits and case file reviews. Training
- Develops and presents on-going user training and support
through video conference or one-on-one conference call.
- Creates all required training presentations (PPT), job aids,
processes and procedures and makes them available, after the review
and approval by Social Ministries Administration, in the POH
Database.
- Maintains the POH Community Services Training Schedule.
Conferences
- Participates in Community Services development/developer
conferences, as approved.
- Participates in National and Territorial Social
Ministries/Services Conferences, as assigned.
- Participates in the Annual Pathway of Hope Refresher, as
assigned.Qualifications
- Bachelor's degree
- 3-5 years related experience
- Previous work experience in homeless services, social services
or customer service is desired.
- Homeless Management Information Systems experience
beneficial.
- Basic understanding of database structures
- Proven training skills, especially in group settings.
- Ability to assess, design, deploy required data entry workflows
on program specific basis.
- Experience with report writing (fluency with SAP Business
Objects is preferred).
- Demonstrated organizational and planning skills.
- Demonstrated verbal and written communication skills.
- Experience using CommunityServices, other web-based data
systems, and Business Objects is a plus.
- PC support and troubleshooting expertise and knowledge of
Windows Operating Systems. Internet browser expertise, e.g. Mozilla
FireFox, Google Chrome and Internet Explorer.
- Social services fluency and a solid understanding of the
Salvation Army Pathway of Hope objectives.
